Terms and Conditions for Catered Accommodation

Go-Alpine catered chalet – Terms & conditions

SARL Go Alpine is registered as a limited liability company in France. Booking is subject to French law and the exclusive jurisdiction of the French courts.

1. Booking options, confirmation and payment: All booking correspondence should take place between Go Alpine and the group leader. The group leader is responsible for all payments for the party as a whole. On request Go Alpine will reserve a requested date for 4 working days to allow the group leader to pay the required deposit. The holiday is confirmed as booked when an online booking form has been completed and Go Alpine issues written receipt of a deposit payment.

The final balance must be paid at by the date indicated on your invoice, which is typically 10 weeks before arrival. In the event of late payment Go Alpine reserves the right to cancel the booking and cancellation charges will apply. For bookings made within 10 weeks of the arrival date payment in full is required.

Payments made by debit or credit card (Visa or MasterCard only) are subject to a 1% transaction charge. We do not accept American Express.

2. Securing exclusive use of a chalet: Groups wishing to secure the exclusive use of a chalet must occupy a minimum number of 8 paying beds. Children under 3 years are not included in minimum occupancy numbers, which is particularly applicable during peak holiday weeks such as Christmas, New Year, Feb half term and Easter.

3. Single/Empty Bed Supplements: A supplement of 60% of the adult rate (90% during peak dates) is payable if guests wish to book a single room or keep beds empty to ensure exclusive use of the chalet.

4. Cancellations or alterations by you: Should you wish to make any changes to your arrangements after they have been confirmed, you must advise us in writing. Any alterations made to the existing booking, except additions or name changes (which are free of charge) will be deemed a cancellation. Cancellation charges are non-negotiable and apply as follows:

Deposits are not refundable
Cancellation within 70 days of your arrival date charged at 50% of the total

Cancellation within 42 days of your arrival date charged at 75% of the total
Cancellation within 28 days of your arrival date charged at 100% of the total

If one occupant of a twin/double room cancels before the balance payment has been received, a single/empty bed supplement is payable by the remaining occupant unless a replacement person can be found.

The guest is responsible for any cancellation charges made by the suppliers of any additional services booked by us on your behalf.

5. Alteration by Go Alpine: It is unlikely that we shall have to make any changes to your holiday but we reserve the right to cancel or amend the booking. In the event of a major change or cancellation, an alternative holiday will be offered if it is available. If the offer is not acceptable, the guest will receive a full refund.

6. Arrival and Departure Day: Go Alpine asks their guests for their understanding and co-operation on arrival day, when there may be an overlap between arriving and departing guests. All outgoing guests are asked to vacate their rooms by 9am on the day of departure, so they may be prepared for incoming guests. Guests choosing to ski on departure day may shower before they travel using the sauna shower only, as incoming guests may already have occupied their rooms. On arrival day, guest’s rooms will be made available from 13:00 onwards.

The first meal will be afternoon tea served from 16:00 onwards. As a gesture of our good will, guests arriving before 09:00 may be offered breakfast. In this event, incoming guests are asked to show the utmost respect for the previous guests – particularly at the breakfast table.

7. Staff day off: Go Alpine staff have 1 day off midweek during your stay. On this day there is no evening meal provided and guests dine out in a local restaurant at their own expense. For insurance and health/hygiene reasons, guests are not permitted to cook or use the kitchen to provide meals for themselves.

8. Towels and Linen: Go Alpine provides all linen and one bath and hand towel per person at the beginning of your stay. Your towels will be changed once midweek.

9. Conduct: Guests are expected to behave in a manner that in no way causes damage, distress, danger or annoyance to other guests, any property and/or any third party. Should any guest fail to behave in a decent manner, Go Alpine reserve the right to cancel their holiday immediately without refund. All expenses incurred through poor conduct will be the liability of the guest. All damages caused, or expenses incurred MUST be paid in full prior to leaving the chalet. Go Alpine accepts no responsibility for the actions of any guest and shall not be held liable for any claims made against it, by a third party, as a result of any guest’s actions.

10. Smoking policy: Go Alpine operates a strict no smoking policy in line with Law n°91-32 of 10 January 1991. Guests may only smoke outside in designated areas and must use the ashtrays provided.

11. Damage deposit: In exceptional circumstances (e.g. single sex groups) Go Alpine reserves the right to levy a damage deposit of 1200€ on arrival.

12. Special Requests: Any special requests should be communicated at the time of booking on the online booking form. We will make every effort to satisfy any special requirements, but these cannot be guaranteed.

13. Prices in resort: Any prices quoted for activities, equipment hire, instruction and ski passes were as accurate as possible at the time of publication. We cannot however accept responsibility for any variation in prices that are beyond our control.

14. Brochure & Web Site Accuracy: All information supplied is, to the best of our knowledge, correct. Go Alpine does not, however, accept responsibility for any inaccuracies that may be published in error.

15. Insurance: It is a condition of booking that all guests must take out a travel insurance policy (ideally on the day you confirm the booking). All policies should cover the entire period of the holiday and take effect BEFORE the date of outbound travel. The European Health Insurance Card (EHIC) provides insufficient cover in this respect and is not a replacement for travel/cancellation insurance.

16. Liability / Force Majeure: Go Alpine accepts no responsibility for delays or alterations caused by war, riot, civil strife, industrial dispute, terrorism, closure or congestion of airports, ports, train stations or roads, technical problems with transportation, natural and nuclear disaster, fire, adverse weather conditions, piste closure or similar events beyond its control.

17. Travel Documents, Passports and Visas: Guests are advised to contact the Foreign and Commonwealth Office (FCO), or visit their web site on www.fco.gov.uk for advice on travelling to France. All UK nationals will require a valid passport for France. You must ensure you have at least 6 months remaining on your passport validity and we advise you to apply for your passport no later than 10 weeks before departure. It is the guest’s responsibility to arrange and obtain any necessary visas.

18. Acceptance: The terms & conditions are read and accepted by the group leader, on behalf of all named party members and any person subsequently included on a booking.

Annex: Covid-19

Covid-19 is now considered in the same way as any other illness or injury that might prevent travel (for example a broken leg) which you should ensure forms part of your travel insurance, should you or anyone else in your group contract Covid-19 and be unable to travel.  All guests must purchase or already possess a valid travel insurance to cover the dates of your holiday, as soon as you have paid the deposit to Go Alpine to secure your accommodation, giving them comprehensive and adequate cover for any cancellations due to medical conditions relating to Covid-19

The following reasons will not be considered a valid reason for cancellation and our standard cancellation policy will apply. They include, but are not limited to:

An unwillingness to travel
An inability to travel due to medical reasons (including any related to Covid-19)
Individual/household stay-at-home/quarantine orders, sometimes referred to as fitness to fly.
